Position: Operations Supervisor (Manager) Assigned: Facilities, Safety and SecurityReports to: Head of SchoolContract Days: Three-year initial contract, 220 +5 days per yearBand: Supervisor (Manager)Working Hours: 9:00 am to 5:00 pmScope of Responsibility: The Operations Supervisor (Manager) is responsible for ensuring the continuing availability and suitability of space, facilities, utilities, site services and equipment on the campuses responsible for ensuring the efficient and safe provision of school services related to the security, health and safety of members of the AXIS community attending and working at School. Major Duties:?Conduct and maintain full facilities and related capital equipment inventory.?Conduct routine inspections of electrical, water (including plumbing, drinking, grey water systems) and lighting systems to ensure proper operating status and compliance with regulations. ?Act as AXIS’s Health and Safety Coordinator and Fire Officer overseeing and monitoring the statutory obligations for the school and its compliance regarding health, fire and safety practices.?Meet periodically and whenever necessary with respective health, police, education bureau and other government authorities to ensure that the school meets required standards and practices.?Establish a comprehensive risk assessment and management system (RAMS) for school operations outside of those directly associated with the teaching and supervision by the faculty of the curricular and co-curricular and sports/athletics programmes.?Arrange for periodic safety training, including first aid/CPR/AED and fire training, for operational support staff.?Establish long-term maintenance planning for capital assets including buildings and equipment, including external grounds and play structures.?Plan annually with the school leadership team for capital works projects to renovate and otherwise modify campus buildings and grounds and other facilities and equipment.?Conduct regular and close supervision of the personnel providing the transportation, catering, nursing, and security services as they perform their duties to ensure highest standards of service to the school.?Supervise the outdoor events management and associated physical set-up/take down procedures for school-owned equipment and on school-owned and managed properties.?Maintain continual liaison with the parents, students, divisional Principals, and the DHOS to a level as appropriate for each sector in the oversight and ****uation of transportation, catering, nursing, and security services at the school, and in consultation with these persons, propose changes as necessary to maintain and enhance the effectiveness of these services.?Establish and implement time and work schedules, in consultation with the service provider firms, for the personnel providing transportation, catering, nursing and security services in order to meet demands of the school in its regular operations, for school-sponsored events and for other needs as they arise.?Inspect regularly and maintain the orderliness as appropriate all storage areas across the campus, including an inventory of equipment and its associated storage ****.?Manage and ensure legal compliance of facilities and capital equipment where applicable as well as the legal compliance of maintenance, repair, replacement contracts and processes.?Liaise with school community and service suppliers to coordinate logistic support for school activities and events.?Be on-call for 24 hours/day, 7 days/week (except for approved leave) and, in the case of emergencies, ****ly respond at the scene to manage the situation until arrival of a senior administrator.?Manage all documents and records, including invoices and purchase orders (as required by Finance department) related to duties as Facilities Manager.?Liaise with relevant government departmentsa. Compilation of data information (mainly for annual inspection work)Regularly report major school activities and data as required by the government.Collect and organize materials from various departments of the school, such as charter modifications, board of directors' lists, organizational structure changes, enrollment brochures and advertisements, student rosters, foreign teachers’ lists, Chinese staff lists, course arrangements, teaching materials, teaching aids and other purchase lists. The school should Major financial matters such as financial accounting reports, annual audit reports of social audit institutions, school charging items and charging standards, etc. will be prepared.b. Reception and reporting work.To contact and receive the government, organize the government opinions, and report them in writing or verbally to the school leaders. Arrange the corresponding departments to handle and follow up according to the school leaders' instructions. Collect the materials submitted by the corresponding departments that need to be rectified or reported, sort them out and submit them for review.?Manage OA systema. Query OA time: 9:30am, 15:00pm, 16:30pm.b. Connect the OA's tasks with the WeChat information of the government office, submit the document content to the school leader, and send it to the corresponding department for processing and follow-up according to the school leader's instructions.?File organizationa.Collect and organize various types of files (including electronic files), and rationally classify and store them according to the formation characteristics of different types of documents and materials to facilitate utilization and archiving.b.Develop an archive borrowing registration system. Register the department/personal information of the borrowed archives, including the name of the borrower, the borrowing time limit, the number of borrowed materials, etc., and pay attention to the security and confidentiality of the documents and materials.?Perform other duties as assigned.Required Qualifications, Skills, Experience and Attributes:?Experience in the field of facilities construction and/or management, preferably in an expatriate company and/or international school. ?Competence in the use of IT including Windows and MS Office Suite/MS Teams. ?Minimum of bachelor’s degree in engineering, business administration and/or related field from an accredited university or equivalent level technical vocational certification.?Chinese and English language proficiency, oral and written.
